Information about the processing of personal data within Future by Lund

With the new GDPR law that came into force on May 25, 2018, we need to inform you about how we handle your contact information and why we need to save it.

The new law aims to give users more protection and control over what data and information is collected and for what purpose it will be used. For us, it is important that you feel confident that we process your personal data in a secure and lawful manner.

All our processing of personal data takes place in accordance with applicable data protection legislation. This means, among other things, that we protect your personal data with the necessary measures and that you always have the right to contact us to find out what personal data we have stored about you. What is a personal data?

Personal data is data that in one way or another can be linked to you as a person, whether that connection is direct or indirect. It can be name, email address, phone number, postal address and date of birth. Even pictures are a form of personal data, if you can clearly discern in the picture.

Why do we need to save your personal data?

Future by Lund is based on a consortium of industry, academia, entrepreneurs and the municipality. Future by Lund started as an innovation platform funded by the innovation authority Vinnova, and its operations also include other projects and other funders. As a project, we are obliged to report our initiatives, projects and those involved in the projects to Vinnova (https://www.vinnova.se/) and other financiers.

Many of our projects are based on an “in kind” agreement. This means that we must report the participation of project partners in the platform, in projects and how many hours they contribute “in kind”. If we are unable to report the participation of project partners, both we and these organizations may become liable for payment to our funders. We also need to save and manage contact details for those times when Vinnova and the other funders carry out their regular audits of their funded projects.

If you do not agree to this, you must contact us and thus terminate the cooperation and partnership with Future by Lund. If an exit from Future by Lund is desired, please contact Katarina Scott as soon as possible. katarina.scott [@] futurebylund.se.

We may need your personal data for, among other things, the following purposes:
• To fulfill our mission towards Vinnova and the other project funders.
• To fulfill our mission to you.
• To provide a good service and to be able to offer well-functioning, efficient and simple services.
• To be able to answer your submitted questions.
• To be able to handle orders.
• To be able to register your participation in seminars, trainings and the like.
• To conduct voluntary surveys.
• To send you newsletters and subscription mailings.
• To be able to communicate our activities and stories

Where do we collect personal data from?

We collect the personal data that you provide to us, e.g. when you contact us or use our digital channels.

General act

Consent to the processing of photographic images/films

Even pictures are a form of personal data, if you can clearly discern in the picture. By agreeing and accepting an invitation or registering digitally through our channels to one of our events, workshops, seminars or other meetings with a special invitation, you also agree that Future by Lund may film and photograph you during the event. Future by Lund films and photographs all its events for the purpose of documentation and knowledge dissemination.

• You agree that Future by Lund will publish photos and videos of you on the Future by Lund website and all Future by Lund landing pages and project websites operated and managed by Future by Lund. You also agree that we publish on social media and other digital channels.
Images and videos may be spread out of control for Future by Lund as posts can be shared within the forum by other members. For example, if Future by Lund deletes a post with your photo, the post will still be able to remain in the forum if it has been shared by other members.

• Preserve photos in image bank for future internal purposes.

• Preserve photos in image bank as external press images. The images may be used by the media and other external parties. The images will be disseminated out of control for Future by Lund and may be used by any external party for any purpose.

In particular on sensitive data/classification of data

Sensitive data refers to personal data that reveals racial or ethnic origin, personal views, religious or philosophical beliefs or trade union membership and the processing of genetic data, biometric data to uniquely identify a natural person, health data or data about a natural person's sexual life or sexual orientation.

Future by Lund does not normally process sensitive personal data in its operations and if sensitive data does occur in any case, processing is never carried out without the consent of the data subject or without the existence of such support as stated in Article 9 of the General Data Protection Regulation, for example because:

• Fulfill obligations or exercise special rights in the field of labour law, social security and social protection.
• When the processing is necessary to protect the fundamental interests of the data subject or another.
• When the data subject is physically or legally prevented from giving consent.
• In some cases, in the context of trade union activities.
• If the data has already been published by the data subject.
• If necessary in view of an important public interest.
• If necessary for reasons related, inter alia, to the assessment of workers' working capacity or the provision of health care.
• If necessary for statistical purposes.

In each processing of sensitive data, Future by Lund always takes appropriate security measures to protect the data. Personal data is never available to more people than is necessary.

Each employee is responsible for classifying the information and data received in the business based on the degree of sensitivity. If sensitive data (class 1-2) is received by the company and Future by Lund has no reason to process it, it must be deleted immediately. Personal data (class 3) submitted for the purpose of having as contact information and in order to be able to fulfill a contract or other commitment is processed for as long as the legal basis allows.

Class 1. such personal data that discloses racial or ethnic origin, personal views, religious or philosophical beliefs or trade union membership and the processing of genetic data, biometric data to uniquely identify a natural person, health data or data relating to the sexual life or sexual orientation of a natural person.

Class 2. personal data such as social security numbers and bank account numbers and/or card numbers.

Class 3. Personal data such as name, address, telephone, email address.

Investors

In order to be able to help the companies that are part of our investor programs, Future by Lund processes the personal data of persons who are representatives of the investing companies.

Future by Lund processes personal data relating to representatives of investing companies with whom Future by Lund has contact. Personal data processed may include name, telephone number, e-mail, address and professional title, among others. Those who receive the data are mainly employees or responsible for our program activities.

Future by Lund may need to store the personal data after the relationship with the company has ended, for example to administer follow-up of the operations. Personal data may also more generally need to be stored in order to ensure compliance with legal obligations, for example regarding accounting.

Mentors

In order to be able to help the companies that are part of our programs with contact with mentors, Future by Lund processes the personal data of persons who are mentors to the companies that are part of our programs.

Future by Lund processes personal data relating to mentors with whom Future by Lund has contact. Personal data processed may include name, telephone number, email, address and professional title. Those who receive the data are mainly employees or responsible for our program activities.

Future by Lund may need to store the personal data after the relationship with the mentor has ended, for example to administer follow-ups of the business. Personal data may also need to be stored more generally to ensure compliance with legal obligations, for example regarding accounting.

Recipients with whom we share information

In the course of a legal dispute, we may transfer data to other parties such as courts and counterparties and authorities. In these cases, the processing is necessary to satisfy our legitimate interest in establishing, asserting and defending legal claims.

Your rights

The data protection legislation that came into force on 25 May 2018 gives you a number of rights in relation to the processing of your personal data. We process your personal data to the extent necessary to comply with your rights.

Time for thinning and preservation

The purpose of collecting the personal data determines the time Future by Lund processes the data. When Future by Lund no longer has a motive to process the data, and if the data does not fall under the law on archiving or other legislation, the data is deleted or anonymised.

In cases where the legal basis is not based on a contract, legal obligation or public interest, the person whose contact details there is a reason to save will be asked for consent.

Based on the natural structure of the business, where some of the operations are financed with external funds for projects, Future by Lund processes personal data for ten years. The data is then deleted, or anonymised.

Access to your personal data

Furthermore, if you believe that an information about you is incorrect or incomplete, you have the right to request that the data be corrected.

Withdraw consent

For processing where we have requested your consent, you have the right, at any time, to withdraw your consent to the processing with future effect. This means that if you withdraw your consent, we do not have the right to continue processing the personal data already collected on the basis of your previous consent. By clicking on the link provided in the email where consent is used as the legal basis, you can easily withdraw your consent or contact caroline.wendt [@] futurebylund.se.

Oppose processing for direct marketing purposes

You can object to our processing of your personal data for direct marketing purposes at any time. This can be done by clicking on one of the registration link in the mailing. If you object to our processing of your personal data for direct marketing purposes, you agree that Future by Lund will not send you any general or personalized offers.

Oppose treatment based on a balance of interests

You have the right to object to treatments based on a balance of interests if you have personal reasons relating to the situation. However, we may continue to process your data, even if you have objected to the processing, if we have compelling legitimate grounds for the processing that outweigh the privacy interest.

Erasure

In certain circumstances, you have the right to have your personal data erased, for example if the processing is based on consent and you withdraw this consent. However, this does not apply if, for example, we are obliged by law to preserve the data.

Restriction of treatment

You also have the right to request that the processing of your personal data be restricted. However, if you request that the processing of your data be restricted, it may mean that we will not be able to comply with our possible obligations to you.

Data portability

Finally, you have the right to obtain a copy of the personal data concerning you in a structured format (data portability). Thus, the right to data portability, unlike the right to record extracts, covers only data that you have provided to us yourself and which we process on the basis of certain legal grounds, such as a contract with you.

Processing of personal data

Purpose 1: Partnerships and reporting

Treatment carried out: Reporting to Vinnova and other financiers, accounting and the principle of disclosure.
Categories of personal data:
Name, Email, Company, Work Location, Title, Role, Phone Number, Areas of Interest, Challenges, Industry, Collaborations.
Legal basis:
Balance of interests.
Storage period:
10 years

Purpose 2: Direct marketing and events

Treatment carried out: Information about trainings and events as well as content and news that is relevant and falls under the balance of interests of the recipient.
Categories of personal data:
Name, Email, Company, Work Location, Title, Role, Phone Number, Areas of Interest, Challenges, Industry, Collaborations.
Legal basis:
Balance of interests. There is always the option to unsubscribe (opt-out)
Storage period:
If you are inserted into the system due to an activity through the website (for example, downloading information where you can enter your contact details) and have no other engagements with Future by Lund after your first contact, your personal data will be deleted after 12 months. You will receive our newsletter until you unsubscribe.

Purpose 3: Deliver personalized (marketing and sales efforts.)

Treatment carried out: Profiling and categorization in the form of persona, based on website usage, tests and other activities such as participation in information meetings. The creation of personalized content for you based on how we have assessed your interest in our services and where you are located (the purchase process).
Targeted market and sales efforts based on above.
Categories of personal data:
Name, City, Email, Company, Title, Role, Phone Number, Areas of Interest, Challenges, Industry, Collaborations.
Connection to “persona” that reflects how we have assessed your interest in our services.
Legal basis:
Consent. The consent can be easily withdrawn by clicking on the link in any email where you can withdraw your consent. (We will ask for your consent in every interaction on our websites and if you do not agree, old consents will be withdrawn.)
Storage period:
If you consent and have no other engagements with Future by Lund after 12 months from the consent, your consent will be deleted. You can withdraw your consent at any time. Your personal data will be deleted 12 months after the withdrawal of consent, unless there are other purposes and legal grounds for retaining it.
